RETAIL RADIO

Run consistent radio across every location

Retail Radio connects your approved music, promotions, schedules and physical players. You prepare the experience in the dashboard; each enrolled player receives the correct programme for its location and zone.

1. Confirm the account and serviceKnow who can make changes and which plan allowances apply.

Your organisation is the security and billing boundary. Owners and managers control setup; other team roles see only the tools allowed to them. Account & plan shows the active Retail plan, location allowance, player allowance and optional services.

What to do

  1. Open Account & plan and confirm Retail Radio is active.
  2. Open Organisation & team and give each colleague the smallest suitable role.
  3. Check Notification centre for anything that blocks setup or playback.
2. Create locations and listening zonesDescribe where audio will play before connecting devices.

A location represents a physical shop or venue. A zone represents a listening area inside it, such as the shop floor, café or entrance. Schedules and players use these records so content cannot accidentally cross into another location.

What to do

  1. Create the physical location with its local timezone and opening hours.
  2. Add one or more clearly named zones inside the location.
  3. Use location groups only when several shops should share the same controlled setup.
3. Prepare music and audio safelyBuild a rights-cleared library without exposing storage details.

Your Media library holds organisation-owned music, promotions and voice material. Every music track needs clear rights, permitted territories and product uses. Ruvanas catalogue music remains subject to the genre access included in the current plan.

What to do

  1. Upload audio and enter accurate title, artist and rights information.
  2. Select Retail Radio only when the licence permits retail use.
  3. Wait for the item to become approved or ready before using it in programming.
4. Build programming and AutoDJChoose what plays, when it plays and what fills every gap.

Programming combines Music Modes, schedules and AutoDJ. Music Modes define an approved rotation. Weekly schedules decide when each mode applies. Continuous AutoDJ protects unscheduled time, while timed playlist generation prepares a finite, reviewable sequence for a chosen date and window.

What to do

  1. Create or select an approved Music Mode for the required mood.
  2. Add weekly schedule blocks in the location timezone.
  3. Configure Continuous AutoDJ as the gap-filling default and optional backup.
  4. Use Timed playlist for a fixed, versioned programme in a particular window.
  5. Preview the result before publishing it.
5. Add promotions without breaking the music flowSchedule approved messages with dates, times and delivery rules.

Promotions are controlled insertions, not replacements for the underlying music schedule. Each promotion carries its own campaign window, destination and approval status. The playout resolver inserts only currently eligible material.

What to do

  1. Prepare or upload the promotional audio.
  2. Choose the correct Retail destination and campaign dates.
  3. Review the delivery preview and publish only approved material.
  4. Use delivery reports to confirm completed plays.
6. Enrol and place each playerConnect the device that turns the plan into audio in the shop.

A player belongs to one organisation and one location zone. The one-time enrolment code establishes that relationship. Once online, the player asks the shared resolver for the correct programme and reports operational evidence back to Ruvanas.

What to do

  1. Create the player for the exact location and zone.
  2. Open the player page on the listening device and enter the one-time code.
  3. Keep one active player session per intended audio device.
  4. Check that the player reports online before leaving the location.
7. Monitor service and delivery evidenceSee what is online, what played and what needs attention.

Service insights shows operational trends, while Live streams shows current connections. Delivery reports use verified proof-of-play records rather than assuming that a scheduled item played. Notifications surface issues that need an owner or manager.

What to do

  1. Check Live streams for active device sessions.
  2. Review Service insights for interruptions or unusual trends.
  3. Open Delivery reports when a campaign needs evidence.
  4. Follow Notification centre actions instead of repeatedly changing a healthy schedule.
8. Add optional visual and production servicesUse Digital Signage, Retail Media or Studio only when included.

Optional services reuse the same organisation boundary. Digital Signage manages screens, visual playlists and takeovers. Retail Media coordinates governed campaigns. Ruvanas Studio provides professional production requests without giving production staff uncontrolled access to your radio setup.

What to do

  1. Confirm the optional service appears in Account & plan.
  2. Open its dedicated workspace rather than mixing visual and audio devices.
  3. Keep approvals and delivery evidence with the related campaign or production order.
